Standard Mileage Rate vs Actual Expenses

The IRS gives you two ways to deduct vehicle expenses. You must choose one method for each vehicle you use for business.

1. The Standard Mileage Rate

This is the easiest and most common method. The IRS sets a standard rate per mile each year (e.g., $0.67 for 2024, $0.69 for 2025). This rate is designed to cover the average cost of gas, depreciation, repairs, insurance, and maintenance. You simply multiply your business miles by the rate.

Best for: People who drive a lot of business miles in a relatively inexpensive or fuel-efficient car.

2. The Actual Expenses Method

This method requires you to track all the money you spend on the car throughout the year, including gas, oil, repairs, tires, insurance, registration fees, lease payments, and depreciation. You then multiply the total by your Business Use Percentage.

Best for: People who drive an expensive car, a heavy SUV/truck (which may qualify for Section 179 depreciation), or who have very high repair/gas costs but lower overall mileage.

Strict IRS Rules for Mileage Tracking

Regardless of which method you choose, the IRS is incredibly strict about vehicle deductions. If you are audited, estimating your mileage is not allowed. You must keep a contemporaneous mileage log (meaning you log the miles at or near the time of the trip).

Your log must include:

  • The date of the trip
  • The starting point and destination
  • The business purpose of the trip
  • The starting and ending odometer reading (or total miles driven)

Using an automatic GPS tracking app like MileIQ or QuickBooks Self-Employed is highly recommended to ensure compliance.
